WHAT WE KEEP, AND WHAT DON'T
Privacy Policy
Effective September 17, 2026.
We never sell your information, and we never share it with advertisers. No ad networks, no tracking pixels, no data brokers. Not now, not later.
EverySlot is run by therevstodd, LLC, a North Carolina limited liability company trading as EverySlot. We are the data controller for the information described here, meaning we're the ones who decide what is collected and why, and you can reach us any time at info@everyslot.org. This is a plain-English policy rather than a legal wall; a lawyer should review it before you rely on it for anything serious.
What We Collect
- Your name and email address, and how you signed in
- The groups you belong to and the slots you claim
- Answers you give on a sheet: a dish you're bringing, a dietary note, a phone number a group asked for
- Files And Links A Group Uploads To Its Sheets
- If you sign up for a slot without making an account, the name and contact details you type on that form, held for that sheet alone
- If you ask to be told when paid plans open, your email address and which plan interested you is used only to send you that one notice
- Basic technical information: when you last signed in on a device, and error reports when something breaks
Why We Collect It
To run your signups: show your groups' sheets, remember what you claimed, let organizers see who is coming, and send the reminders people asked for. That's it. Reminders by text or push are opt-in and can be turned off in your account.
Put in the language the law uses, we rely on:
- Performing Our Agreement With You — your account, your groups, your claimed slots and the answers a sheet asks for
- Our Legitimate Interests — keeping the service secure, preventing fraud and abuse, fixing errors, and making the product better
- Your Consent — text and push reminders, which you can withdraw at any time in your account. Mobile numbers are used only to send the messages you asked for and are never sold or shared for anyone else's marketing; see text messages.
- Legal Obligations — tax and accounting records for purchases
Who Can See It
People in your group see what a signup naturally shows: your name next to the slot you took, and any answer the sheet asks for. You can hide your name from other members in your account settings; organizers still see it, because someone has to know who's coming.
Outside your group, only these kinds of recipients, and only what they need:
- Service Providers — hosting and database, email delivery, text and push delivery when a group turns those on, and error reporting
- Paddle - our reseller and Merchant of Record, for selling plans and extras, managing subscriptions, taking payments, invoicing and sales tax
- Professional Advisers — accountants and lawyers, where they need it
- Authorities - where the law requires it; we'll tell you unless we're forbidden to
Never advertisers, never data brokers, and never sold. Our providers work under contracts that limit them to acting on our instructions.
How Long We Keep It
Your account information stays while your account is open. Sheets, claims and answers stay while the group keeps them; groups can delete a sheet at any time. Once your account is closed we delete or anonymise your personal information within about thirty days, apart from purchase records we're required to keep for tax and accounting, usually seven years, and short-lived security logs.
Your Rights
You can ask us for a copy of what we hold about you, correct it, delete it, ask us to limit or stop a particular use, or object to it, and you can withdraw consent for text or push reminders whenever you like. Email info@everyslot.org and we'll reply within a month. If you're in the UK or EU and you think we've handled it badly, you're entitled to complain to your local data protection authority.
Keeping It Safe
Information travels encrypted, sits encrypted at rest, and is walled off group by group so one group can never read another's. Access is limited to the few people who need it to run the service, files a group uploads are private and served by expiring links, and we take appropriate technical and organizational measures to protect against loss and misuse. Our hosting is in the United States; if you're outside it, your information is handled there under contract terms meant to protect it.
Children And Youth
Groups often sign up families. A parent or guardian can add family members to their own account and manage those signups, which keeps children from needing accounts of their own.
We ask groups to collect no more about a child than the signup actually needs: a first name and an allergy note, not a life history. EverySlot isn't meant for children to sign up for themselves. If you believe a child's information is here and shouldn't be, email us and we'll remove it.
KidSlots Check-In
Groups on KidSlots keep a little more, because a check-in desk needs it: the child's name and the adult who brought them, any allergy or medical note the family gives, the people allowed to collect the child, a private family pickup code, and the time of each check-in and check-out.
Only the group's own leaders and the staff at its desk can see any of it, and only for that group. Pickup codes are stored scrambled so nobody, including us, can read them back. A group can delete a child's record at any time, and everything goes when the group's KidSlots is switched off or the group is deleted. It is never sold, never shared with advertisers, and never used for anything but running that group's check-in.
CareSlots Meal Sign-Ups
A CareSlots sheet is about one family receiving meals, so the coordinator enters that family's name, home address, phone and email, along with notes like allergies and when to deliver. The address and phone number are never on the public sheet — they appear only once you have taken a day, and only to you.
The coordinator can send the family a private link showing the days ahead, who is bringing each meal, what it is, and how to reach that helper, so the family can say thank you or ask a question. Helpers are told this before they sign up. You can bring a meal without making an account; in that case your name, what you're bringing and the contact details you give are held for that sheet alone.
Payments
Card numbers never touch EverySlot's servers. Payments run through our payment processor, which handles the card details directly. We only see what a plan cost, when it was paid, and whether it went through. See the pricing page for what's for sale.
Deleting Your Information
Ask and it goes. Email info@everyslot.org and we'll delete your account and personal information, normally within thirty days.
Sheets your group created stay with the group, but your name comes off them. If you're the last Leader of a group and you want the whole group deleted, say so and we'll remove it.
Cookies And Storage
We keep you signed in, remember which group you were looking at, and remember small preferences like list-or-calendar view. Those live on your own device. There are no advertising or third-party tracking cookies.
Changes And Questions
If this policy changes in a way that matters, we'll update the date above and email account holders. Questions, worries, or a request to see what we hold about you: info@everyslot.org.
